Event Planning & Client Responsibilities

A clear allocation of approvals, venue duties, safety, permissions, vendors, technical needs, and event-day decisions.
Lumistage Media directs the entertainment program within the agreed scope. The client and venue continue to control the event environment and the obligations assigned to them.

Purpose
Successful event planning requires timely cooperation and a clear allocation of responsibilities. This page explains the standard responsibilities of the client, venue, and Lumistage Media. A project agreement may assign specific duties differently.

Accurate Event Information
The client must provide accurate and complete information about the event purpose, date, venue, city, schedule, expected attendance, audience characteristics, age restrictions, accessibility needs, language, budget, brand standards, technical environment, and desired activities. Material information must not be withheld.
If attendance, location, timing, audience profile, or program objectives change, the client must notify us promptly. Late changes may affect feasibility, price, staffing, safety, and the quality of available options.

Authorized Decision-Maker
The client must appoint at least one representative with authority to approve concepts, scripts, schedules, costs, and event-day decisions. We may rely on instructions from that representative. Conflicting instructions from multiple contacts may pause work until the client identifies the controlling direction.

Timely Reviews and Approvals
The client must review drafts and provide consolidated feedback within the agreed time. Silence is not approval unless the project document expressly says so. Delayed approval may require a compressed schedule, reduced revision opportunity, substitution of unavailable resources, or additional fees.
Final approval confirms that names, dates, facts, activity rules, timings, pronunciations, brand assets, and client-supplied materials are accurate.

Venue Contract and Access
Unless expressly included in our scope, the client is responsible for securing the venue, signing the venue contract, paying venue charges, and obtaining access for planning, setup, rehearsals, and event performance. The client must provide current venue rules, loading information, floor plans, contact details, and technical specifications.

Permits, Licenses, and Insurance
The client is responsible for permits, business or event licenses, insurance, music and performance licenses, public assembly approvals, alcohol permissions, photography or filming notices, and any other governmental, contractual, or rights-based authorization required for the event. We do not provide legal conclusions about whether a permit or license is required.

Safety and Emergency Planning
The client and venue control the premises and are responsible for risk assessment, emergency exits, fire safety, occupancy limits, crowd management, medical response, evacuation procedures, security staffing, weather plans, electrical safety, structural safety, and compliance with authority instructions.
We may provide program-related observations, but these do not replace qualified safety, security, medical, engineering, or venue professionals. The client must communicate emergency procedures and identify the person with authority to stop the event.

Accessibility and Inclusion
The client and venue are responsible for lawful accessibility, including accessible routes, seating, restrooms, communication accommodations, and reasonable participation alternatives. The client should identify relevant needs early so activities can be designed appropriately.
The client must avoid discriminatory instructions and is responsible for event policies concerning harassment, respectful conduct, and accommodation requests.

Minors and Vulnerable Participants
When minors or vulnerable participants may attend, the client is responsible for parental or guardian permission, appropriate supervision, age-suitable activities, safeguarding procedures, background-check requirements, and restrictions on photography, communications, and physical contact. We do not assume custody or guardianship.

Alcohol, Food, and Controlled Substances
The client, venue, and licensed vendors are solely responsible for alcohol service, age verification, intoxicated guests, food safety, allergens, and compliance with applicable laws. Lumistage Media does not sell or serve alcohol or food. No illegal drugs or unlawful controlled-substance activity may be incorporated into an event.

Audience Conduct and Participation
The client is responsible for admission policies, guest conduct, code-of-conduct communication, consent to participation, management of disruptive individuals, and enforcement of venue rules. Activities should be voluntary unless a lawful organizational context clearly provides otherwise. Guests must not be pressured into unsafe, humiliating, discriminatory, or inappropriate participation.

Photography, Video, and Publicity
The client is responsible for notices, releases, and permissions concerning photography, video, audio recording, livestreaming, attendee names, testimonials, and publicity. If the client asks us to use photographs, videos, music, logos, or guest information, the client confirms that it has the necessary rights.

Music, Content, and Intellectual Property
The client must secure music, performance, synchronization, image, trademark, and other content rights not expressly included in our scope. Client-provided content must not infringe rights, contain unlawful material, or create a false endorsement. We may refuse content that presents a credible legal, reputational, or safety concern.

Independent Vendors
Unless we expressly contract with a vendor in our own name, the client is responsible for selecting, contracting, paying, and supervising venues, performers, caterers, rental suppliers, audiovisual providers, transportation, security, photographers, and other vendors. The client must ensure that vendor schedules and obligations are compatible with the program plan.

Technical Requirements
The client and venue must provide agreed power, internet, audio, lighting, projection, staging, furniture, microphones, playback devices, adapters, and technical personnel. Equipment must be tested before the event. We are not responsible for failures of equipment, networks, utilities, or systems that we do not own or control.

Materials, Shipping, and Storage
The client must approve quantities, delivery addresses, deadlines, and storage arrangements for printed or physical materials. The client is responsible for venue receipt, secure storage, and return or disposal unless our scope states otherwise. Rush shipping and replacement costs caused by late approval or incorrect client information are chargeable.

Event-Day Coordination
The client must provide a reachable event-day representative and ensure that vendors know the reporting structure. We may make reasonable timing or sequencing adjustments to preserve program flow, respond to delays, or address safety. Material changes affecting cost or scope will be referred to the authorized representative where practical.

Changes and Overtime
Additional attendance, extended duration, delayed access, late program start, added activities, revised venue layout, or expanded responsibilities may require additional fees and may not be feasible. Overtime is subject to personnel availability, venue restrictions, and the applicable rate stated in the project document.

Confidential and Personal Information
The client should provide only information reasonably needed for the event and should use secure methods for sensitive guest or employee data. The client is responsible for the lawfulness and accuracy of personal information it supplies and for communicating any applicable privacy notices to participants.

After the Event
The client must report any incident, claim, injury, property issue, or material complaint promptly and preserve relevant records. Final payments, reimbursable expenses, equipment returns, and deliverable approvals remain due according to the project documents. Post-event feedback is welcome but does not alter approved scope or fees unless agreed in writing.
